Zapier is an online automation tool that lets you connect Vincere to over 1,500 apps β including AutoPilot, Gmail, Slack, and MailChimp β without any coding. This article explains what Zapier is, how to connect it to your Vincere account, and how to start building automated workflows called Zaps.
β οΈ Important: The Zapier integration is currently in Early Access. Only Public Talent Pools and Distribution Lists are supported at this time. Any Zaps linked to your Vincere account will be triggered across all users on your tenant.
Set Up and Use the Zapier Integration
What Is Zapier?
Zapier works by connecting apps through Triggers and Actions:
A Trigger is an event in Vincere that sends data to Zapier β for example, a new candidate added to a Talent Pool.
An Action is what Zapier does in another app when a trigger fires β for example, adding a contact to a Mailchimp list.
Example trigger and action combinations:
New Candidate added to Vincere Talent Pool β Add New Contact in AutoPilot.
New Contact added to Vincere Distribution List β Add Contact to List in AutoPilot.
Unsubscribe Email in Mailchimp β Unsubscribe Candidate or Contact in Vincere.
New Contact Property Change in HubSpot β Unsubscribe Candidate or Contact in Vincere.
π Note: Triggers only work in the ATS and CRM dashboards. Zaps are triggered when a new Candidate is added from the ATS dashboard or a new Contact is added from the CRM dashboard.
Create a Zapier Account
Before you can connect Vincere to Zapier, you need a Zapier account.
Go to Zapier and sign up for an account, or log in if you already have one.
Connect Zapier to Vincere
Go to Zapier and log in to your account.
Select App Connections from the left-hand menu, then click Add Connection.
When prompted, paste in your Vincere API Key.
π Note: When creating your Zap, make sure you select the latest version of Vincere from the app list.
Find Your Vincere Tenant URL
When Zapier asks for your tenant, enter your Vincere account URL.
Look at your browser address bar and copy only the site URL β for example,
mycompanyname.vincere.io. Do not includehttps://.
Get Your API Key
To retrieve your API Key, contact the Vincere Support team. For details on how to reach them, see how to contact Vincere support and book training.
Authenticate and Verify the Connection
Once you have entered your API Key and tenant URL, log in with your Vincere user credentials when prompted.
Click Test to verify the connection.
Once the connection is confirmed, you can start building your Zaps.

Things to Know When Setting Up Your Zaps
Distribution List and Talent Pool IDs: The number displayed next to the name of a Distribution List or Talent Pool in Zapier is its ID, not the number of records it contains.
Sample data: When setting up a Zap and selecting a sample on the Test step, only default samples for Contacts and Candidates are available to pull in at this time.
Supported triggers: Zaps are only triggered when a new Candidate is added from the ATS dashboard or a new Contact is added from the CRM dashboard.

On the Zapier side
1. When selecting Distribution List or Talent Pool, the numbers displayed next to the names of your Distribution List/Talent Pool refer to the ID (not the number of records).

At the moment, Zaps are only triggered when a New Candidate & New Contact is added from the ATS dashboard (a page in Vincere with the list of candidates) and CRM dashboard (a page in Vincere with the list of contacts), respectively like so:
