⭕ What is Nylas?
Vincere uses Nylas's technology to synchronize emails and calendar events from your connected email into Vincere.
With Nylas, Vincere can connect to various email providers (like Gmail, Outlook, and IMAP) and manage email, scheduling, and contacts efficiently.
🤔 Why do we do this?
To enhance the quality of our service, we're upgrading to Nylas API V3 and transitioning customers from the current V2 version.
👉 This upgrade brings better performance, enhanced compatibility, and new features to our email system. Here's an overview of the changes and guidance on transitioning smoothly.
⭕ What’s Changing?
Email Syncing: Nylas fetches emails from your connected email during sync requests.
The “Synchronizing” status for email accounts will be replaced with a streamlined syncing experience.
Microsoft Integration: Better compatibility with Microsoft products.
New Status Indicators: Email account statuses updated to include:
"Not Connected".
"Connected".
"Disconnected".
New status categories like “Nylas V3 – Gmail” and “Nylas V3 – Microsoft”.
⭕ What Do You Need to Do?
Once enabled for your Vincere site, you and your team members will need to reconnect your email to start using V3:
1. Disconnect your email.
To disconnect your email, simply follow the steps below:
Click on your profile picture on the top right of your Vincere screen.
Click on User Settings.
Click the red Disconnect button.
2. Reconnect Your Email:
Click the hyperlink to connect your email.
Type in the email address you want to connect.
Click the Detect Email Type Button.
Click Connect.
Reconnecting ensures your account transitions to Nylas V3 and will still continue to work after V2 has been disabled.
📝 Notes: You may see a message prompt saying:
“We have introduced new improvements to enhance email performance. Please reconnect your email to take advantage of these enhancements.”
This prompt is asking users to disconnect and reconnect their email to apply the new improvements related to Nylas V3.
Here’s when the prompt appears:
It only shows for users who have an email account connected.
It only applies to tenants where the V3 toggle is ON.
It targets users who are still on Nylas V2 and have a "Connecting" status.
⚠️ If you’ve already connected to V3 but still see the prompt, it may be because another user in your tenant is still on V2.
2. Review Status Updates:
Check the updated status labels in your user management table or system settings.
3. Confirm Calendar Connectivity:
If you use an external calendar, ensure it is connected to continue accessing filters and features.

⭕ How to Connect Your Email to Vincere
Once the upgrade has been enabled, upon login, you will be prompted to reconnect your email.
You can click the Go to User Settings button and reconnect your email
Alternatively, you can follow the steps below:
Step 1: Access Your Account Settings
Log in to Vincere.
Navigate to your profile picture and click User Settings
Step 2: Reconnect Your Email
If prompted with a dialog box about reconnecting, click Go to User settings.
Enter your email credentials and follow the on-screen steps to authenticate.

Resolving Synchronization Issues
Contact Your IT Administrator: Permissions to sync your email account must be set by your IT admin. Reach out to the appropriate person in your IT department who handles email permissions.
Check the Admin Center: Depending on your email provider, access to an admin center (such as the Microsoft admin center) may be required. Your IT admin can grant the correct permissions through this platform.
Resolving Integration Issues When Linking Accounts
Identify Your Organization's Email Admin: Contact the internal email administrator or super user responsible for managing account permissions. This could be someone from the IT department or a senior team member.
Collaborate with External Email Support: In some cases, additional authorization settings must be configured by your email provider. If internal admin support is unavailable, reach out to the email provider or external email support team for setup assistance.
If the first option is chosen, then the Global Admin needs to grant consent. Please reach out to your internal IT team to grant this permission.
Otherwise (option 2 or 3 is chosen), you (the user) can provide the consent.

Submit a Justification: When prompted, provide a reason for your email reconnection request.
Request Administrator Approval: Initiate the approval process by clicking the ‘Request Approval’ option.
Await Admin Approval: Your administrator will review the request and approve if appropriate.
Authenticate Your Account: Proceed to connect your email after receiving approval.

What happens if I don’t reconnect my email?
Your email will continue to work temporarily with Nylas V2. However, we recommend reconnecting to continue to access the latest features and improvements and avoid issues during the transition.
Will my current email and calendar functionality change?
All essential functions will remain the same. However, reconnecting is necessary to use V3.
What happens to my emails during the transition?
Your email functionality remains unaffected. Reconnection is a seamless process.
How do I know if I am or if another user is on V2 or V3? System administrators can go to Settings > User management and check the email connection. Users using V3 will have "Nylas V3" in their Email connected column
What will happen if my email is disconnected?
You will be prompted by the system to reconnect you email. You will receive the message b6. What should I do if I can’t identify the IT admin in my organization?
If you cannot locate the relevant admin, contact your company’s IT department or speak to the email provider directly to confirm account-level permissions and facilitate the required changes.
Can these permissions be managed without an organizational admin?
Typically, no. These permissions are designed to safeguard accounts and ensure user-level changes don’t compromise organizational security. It is important to seek administrative assistance.
Do I need to use the Microsoft admin center specifically for resolving these issues?
Only if your company uses Microsoft email services. If not, the procedure will depend on your email provider’s platform for managing admin permissions.elow:
6. Received a Need Admin approval message when reconnecting my email:
This indicates that either Microsoft-imposed settings or Vincere Core security protocols require approval before reconnecting your email.
This means that you might need the approval of your admin to connect the email. To resolve this, you would need to check/configure user consent to applications. To do this, please see the steps here - The approval request could also be due to Vincere’s enhanced security measures. Users may need to provide a justification and request administrator approval directly in the platform before proceeding with authentication.
7. Overview of Administrator Permission Error
When connecting an email account to a platform like Vincere, you might see a message requesting admin access. This indicates that you require higher-level permissions typically available to an organizational super-user, IT administrator, or a senior team member managing your account. The issue is usually related to restrictions set at your organization’s level, ensuring email integrations comply with security policies and require explicit administrative approval.
