All about GDPR Privacy Settings in Vincere

The GDPR Privacy Settings in Vincere allow you to manage various aspects of GDPR | Consent management, Privacy Policy & Terms Of Service, and Email Permission Settings. This guide provides detailed instructions on how to navigate and utilize these settings effectively.

How to access GDPR Privacy Settings? 🤔

  • To access GDPR Privacy Settings please navigate to Settings > Admin Settings > GDPR | DATA PRIVACY

⭕ Settings Overview

  • GDPR | Consent management: Modify consent request form and consent management page.

  • Privacy Policy & Terms Of Service: Upload or configure your Privacy Policy & Terms of Service.

  • Email Permission Settings: Set default Email Permission for Candidates and Contacts

⭕ Detailed Settings

GDPR | Consent management

This page allows you to customize the message in your Consent Request form and Consent Management page. You can use #PrivacyPolicy# wildcard to provide a link to your Privacy Policy.

  • DURATION SETTING: You can set up the option that allows candidates to choose such as 3 months, 6 months, 1 year, 2 years, 3 years, 5 years, 10 years, and Until further notice.

  • CONSENT REQUEST FORM: you're able to customize the message in your Consent Request form as desired.

  • CONSENT MANAGEMENT: you're able to customize the message in your Consent Management page as desired.

Privacy Policy & Terms Of Service

Ensuring your company stays ahead in privacy and legal standards is crucial. Vincere allows you to update your company’s Terms of Service (ToS) and Privacy Policy (PP) documents seamlessly.

Uploading and Linking Documents

You have two options to provide your Privacy Policy and Terms of Service:

  1. Provide a URL: Simply link to your existing Privacy Policy and Terms of Service page.

  2. Upload in PDF Format:

    • You can upload the documents in PDF format directly into Vincere.

    • Use the wildcard #PrivacyPolicy# to dynamically link to your Privacy Policy within the system.

📝 Note: This is a dedicated area within the admin settings that is available for uploading the TOS and PP documents.

  • Only users with the correct permissions (typically admin users) can access and edit these documents.

The updated TOS and PP will be utilized in the “Send Jobs to Candidates” feature, ensuring candidates are always informed about your company’s latest terms and policies.


👉 This feature is accessible to all Vincere core customers with the appropriate admin permissions, making it easy to manage and update your company’s Privacy Policy and Terms of Service.

Email Permission Settings

This is where you can set up the default Email Permission for all Contacts/Candidates you add to the system if you want them to be subscribed or unsubscribed.

👉 To do this, you can go to Settings > Admin Settings > GDPR l Data Privacy > Email permission settings > Edit

📝 Note: The new settings, once applied, will not be retroactively applied to existing records. This change will only affect new records that will be added to the system after the setting is updated.
