Configure Vincere for your agency by setting up roles, permissions, workflows, automation, email templates, and integrations, then continuously refining these with your Customer Success Manager.

This article explains how to structure your Vincere configuration in three stages – Establish, Evolve, and Excel – so that your system supports efficient day-to-day operations and long-term business growth.

Important: These configuration tasks are typically completed by admin users and in collaboration with your Customer Success Manager to ensure they align with your agency’s processes.


Configure Roles, Permissions, and Settings

Establish Core Configuration

  1. Review your agency’s structure, then decide how it should be reflected in Vincere, including key user roles, permissions, and core system preferences for seamless operations.

  2. Set up users and configure their permissions in line with your agency’s policies using your Set Up Users and Configure Permissions in Vincere configuration.

  3. Confirm that core settings such as default views, communication preferences, and other system-wide options match how your teams work day to day.

  4. Work with your Customer Success Manager to validate your initial configuration and ensure it covers the key processes and compliance requirements for your agency.

  5. Use your Configuration Checklist Admins must know to verify that all essential setup tasks have been completed.

📌 Note: The Establish stage focuses on getting the fundamentals right so that users can work confidently in Vincere from day one.

Evolve Your Configuration

  1. Review your existing workflows, then identify where you can streamline or standardise processes across teams.

  2. Customise workflows to match your real-world recruiting and sales processes so that activities and stages are consistent for all users.

  3. Configure email templates to support common communications (for example, candidate outreach or client updates) and ensure consistent messaging across your team.

  4. Set up and refine automation rules to reduce manual work, improve response times, and increase consistency in how tasks are handled.

  5. Collaborate with your Customer Success Manager to fine-tune workflows, email templates, and automation rules, ensuring they stay aligned with your evolving business needs.

  6. Review your Custom Status Tag for Entities configuration so that key records are clearly identified and managed according to your agency’s processes.

  7. Revisit your Configuration Checklist Admins must know to confirm that the changes you have made cover all recommended areas for this stage.

Excel with Advanced Configuration

  1. Analyse performance insights and usage patterns in Vincere to understand how your teams are working and where further optimisation is needed.

  2. Refine existing settings and workflows based on what you have learned, focusing on removing bottlenecks and improving user efficiency.

  3. Work alongside your Customer Success Manager to review your Vincere settings in more detail and identify advanced configuration options that support your growth strategy.

  4. Optimise integrations with other tools your agency uses so that data flows smoothly between systems and manual re-entry is reduced.

  5. Enhance or expand your automation rules, workflows, and templates to support new services, regions, or business lines as your agency grows.

  6. Reassess your Set Up Users and Configure Permissions in Vincere and Custom Status Tag for Entities configurations to ensure they still support your current scale and structure.

  7. Use the Configuration Checklist Admins must know as a recurring review tool to keep your configuration aligned with changing priorities and performance insights.
